ERP or a simple invoicing program?
Before you choose a specific system, you need to know when a "small program" (such as wFirma or Fakturownia) is no longer sufficient. An ERP system becomes necessary when you need:
- Advanced warehouse management (PZ, WZ, MM documents).
- Strict inventory control – ERP will not allow you to sell goods that are not physically in stock.
1. Subiekt GT – Classic and a huge database of specialists
It is a true "dinosaur" on the Polish market, based on architecture from the 2000s. Despite its age, hundreds of thousands of companies still use it.
Pros:
- Low entry threshold – the cheapest in the ranking (cost approx. PLN 1,000).
- A multitude of inexpensive integrations available immediately.
- Widespread use – it is easy to find an employee or service technician who is familiar with this system.
Cons:
- Outdated architecture – the system is over 20 years old.
- Performance – it can "run out of steam" with very large amounts of data (although with optimization, it can handle tens of thousands of orders).
- Additional costs – the Sfera module (required for integration) is charged separately.
2. InsERT Nexo Pro – A modern successor
The natural evolution of Subiekt GT. A system built from scratch, offering a completely different level of comfort and a modern interface.
Pros:
- Built-in Sfera – easier communication with external systems.
- Flexibility and automation features (e.g., order flagging).
- Modern design and improved data structure compared to the GT version.
Cons:
- Speed – it can be slower than its older sibling, the GT, which users continue to report.
- Key features in the Pro version – when deciding to implement e-commerce, it is worth considering only the Pro version.
3. Comarch ERP Optima – Accountants' favorite
The most popular choice of accounting firms in Poland. If your accountant is to decide on the system, they will probably choose Optima.
Pros:
- Always up to date with the law – the fastest updates regarding tax changes (KSeF, JPK).
- Powerful analytics – highly developed reporting modules.
- A vast network of implementation partners across the country.
Cons:
- Problematic cloud – most integrators only work correctly with the desktop version, not the cloud version.
- The need for an implementation specialist – the system is so complex that it usually requires external support for configuration.
4. WaproMag – Focused on logistics
A system with a long history, valued for its speed of document processing and specific approach to logistics.
Pros:
- Performance – handles large volumes of documents well.
- Speed of operation – numerous keyboard shortcuts facilitate everyday use.
- Good integration with brick-and-mortar sales.
Cons:
- Poor documentation – this hinders the creation of dedicated solutions, which increases automation costs.
- Design – like Subiekt GT, the system looks a bit outdated.
5. enova365 – Business-oriented ERP
A modern and flexible solution that goes beyond simple accounting.
Pros:
- Workflow approach – allows you to create advanced order processing procedures.
- Business flexibility – it doesn't just focus on taxes, but on the growth of the company.
- Online version – although with huge sales peaks, it may require its own infrastructure.
Cons:
- Higher implementation cost – prices start at a few thousand zlotys and go up to several thousand zlotys.
- Dependence on partners – the system is almost entirely operated by a partner network.
Enterprise Solutions: For the biggest players
When your scale exceeds standard frameworks, systems such as Comarch ERP XL, Navireo, Verto, or international corporate combines come into play.
- Advantages: No restrictions, vast configuration possibilities, ideal for in-house production.
- Disadvantages: Very high entry threshold (tens or hundreds of thousands of PLN), high maintenance costs, and strong dependence on the implementer.
Summary: What to choose?
The choice depends on your current scale and growth plans:
- Small scale (several hundred orders): Subiekt GT or Nexo Pro due to their low price and easy start-up.
- Medium scale (thousands of orders): Comarch Optima or enova365.
- Large scale and in-house production: Enterprise-class systems (XL, Verto).
Remember that ERP is primarily an accounting system. Even the best ERP in e-commerce often requires support from tools such as BaseLinker, which are better at aggregating orders from multiple sales channels.
